Brief

The council was running an annual briefing event for all their staff. The event ran two different sessions with 1800 staff at each session.

Solution

Audio

  • Multiple speakers were placed throughout the hall, suspended on trussing that was flown from the ceiling. This gave clear evenly distributed audio throughout the hall with no speaker stands blocking walkways.
  • Presenters used tie clip radio microphones and a lectern microphone. Hand held radio microphones were used for question and answer sessions.

Visuals

  • Two large 14ft x 10.5 screens were used which were flown from the front truss bars. Two 5500-lumen Sanyo projectors projected images onto them. The projectors were also suspended from flown trussing support.
  • The powerpoint presentation were run from two laptops (2nd being a back up) The slides were advanced via a radio remote control by the presenter. The presenters also had a 42” Plasma screen on stage so they could see their presentation without looking back onto the screens.
  • Two cameras were set up for filming onto DVD that was later edited. Also for filming the presenters for displaying on the screens. This enabled people at the rear of the hall to see the presenter better.
  • There were also a number of DVD film clips throughout the presentation. By using an Eventix vision switcher we were able to fade between the laptops, cameras and DVD.

Lighting

  • Stage lighting was provided which also included rear multi colour up lighting onto a white drape that gave a backdrop to the presenters. Controllable hall lighting was also provided so we were able to have total control on the lighting levels.

Staging & Drapes

  • Three sides of the hall had draping to help with the acoustics and create a stage backdrop.
